As Director of Human Resources for Bisney Entertainment, a global media and entertainment corporation, it is your job to make sure that all federal income tax paperwork is correctly completed and filed for all of Bisney’s employees. However, Madeline Leota, a recently hired marketing analyst, has yet to provide you with the paperwork necessary to complete her initial personnel file. On two separate occasions in the past month, you have asked her to provide a completed I-9 form for your office, but she has yet to do so. Ms. Leota’s direct supervisor is Marketing Director Harper Goff.
Based upon U.S. Federal Law, without a properly completed Employment Eligibility Verification Form I-9, an employee’s proof of U.S. citizenship can be called into question, and he or she cannot be legally employed in this country. Failure to provide this documentation to the U.S. Government can result in severe penalties for the employee in question as well as for his or her employer.
Draft a detailed memo to Madeline Leota documenting her failure to provide you with the necessary paperwork and stressing the importance of doing so immediately. Be sure to reference your two previous points of contact with Madeline. You should also, provide a specific pathway for her to submit the necessary form to you. Finally, state your next course of action if she does not remedy the situation in a timely manner. Given the serious nature of this situation, your tone needs to be firm, but also polite and professional. Be sure to consider who might need a carbon/courtesy copy of this email.
